The Custom Role Conundrum

Should we customise roles? It’s a question that will, almost invariably, arise during an ERP Financials implementation – and it’s almost equally invariably a contentious question to answer!

Role customisations can often seem tempting, whether to optimise licence usage, or manage access and segregation of duties without needing to address business process or operating model. As with any design choice that strays away from the ‘adopt-not-adapt’ principle, custom roles can have unintended consequences and become a challenge down the line.

These challenges will commonly include, needing to ‘regression test’ those custom roles as part of release readiness, or needing to update them when privileges to access new features are not automatically inherited.

What many Oracle Cloud customers may now be seeing for the first time is a change, meaning a custom role that previously did not invoke a licence now starts to use a licence.

This particular issue relates to ‘PO_VIEW_PURCHASE_AGREEMENT_WORKAREA_PRIV’, which will now start consuming a full Procurement hosted named user licence. Some Oracle Cloud users may find this privilege has been buried in custom view-only or enhanced requisitioner custom roles, that are assigned to large user bases which will now start driving overage against this SKU.
